Terms of Service
These terms apply to your use of the CharityIQ platform. By signing up, you agree to them.

1. Who we are
CharityIQ Ltd (“CharityIQ”, “we”, “us”) is a company registered in England and Wales. The CharityIQ platform (“Service”) is software-as-a-service for UK charities.
2. The agreement
By signing up for the Service, you (“Customer”, “you”) agree to these Terms of Service, our Acceptable Use Policy, our Privacy Policy, and (where you process personal data through the platform) our Data Processing Agreement.
3. Eligibility
The Service is intended for use by UK registered charities, Charitable Incorporated Organisations (CIOs), Community Interest Companies (CICs), and not-for-profit organisations. By signing up, you confirm that you have authority to bind your organisation to these terms.
4. The free trial
Paid plans include a 14-day free trial. No credit card is required. At the end of the trial, your account reverts to free Grant Finder access unless you actively choose to subscribe.
5. Subscription, fees, and renewal
- Subscriptions are billed monthly or annually in advance
- Annual subscriptions receive a 20% discount on the monthly rate
- Subscriptions auto-renew unless cancelled before the renewal date
- You can cancel any time from your account settings; cancellation takes effect at the end of the current paid period
- We don’t issue refunds for partial months. We will refund unused annual subscription time on a pro-rated basis if you cancel within 30 days of an annual renewal
- Prices are in GBP and exclusive of VAT (where applicable)
6. Your data
You retain ownership of all data you upload to the platform (“Customer Data”). We store your Customer Data in the UK and process it solely to provide the Service. See our Privacy Policy and DPA for details.
You can export your Customer Data at any time. After cancellation, we retain Customer Data for 90 days then delete it (unless legally required to retain longer).
7. AI outputs and human responsibility
The Service uses AI to generate drafts (grant applications, Trustees’ Annual Reports, impact narratives). Outputs are drafts intended for human review and approval. You are responsible for verifying every output before submitting it to a funder, regulator, or any third party.
Our outputs are grounded in your charity’s verified data and cite their sources. We make reasonable efforts to ensure accuracy, but AI-generated content can contain errors. Trustees and authorised signatories remain accountable for what your charity submits.
8. Acceptable use
You must comply with our Acceptable Use Policy. Breach may result in suspension or termination of your account.
9. Service availability
We aim for 99.5% uptime, measured monthly. Planned maintenance is announced in advance. We don’t provide a contractual SLA at standard subscription tiers; if you need an SLA, contact us.
10. Liability
Our total liability under these terms is limited to the fees you’ve paid in the 12 months preceding any claim. We don’t exclude liability for death, personal injury, fraud, or any liability that cannot be excluded under English law.
We are not liable for grant applications that are unsuccessful, regulatory actions taken against your charity, or any third-party decisions based on outputs from the platform. AI assists; humans approve and remain accountable.
11. Termination
You can cancel any time. We can suspend or terminate your account if you breach these terms or our Acceptable Use Policy. We’ll give you at least 14 days’ notice except in cases of serious or persistent breach.
12. Changes to these terms
We may update these terms. Material changes are notified by email at least 30 days before taking effect. Your continued use after the effective date counts as acceptance.
13. Governing law and disputes
These terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
