Charity AI use policy template

How to use this: adapt it to how your charity actually uses AI, keep the human-oversight rule unambiguous, and have trustees adopt it with a review date, since AI and the law are both changing.

AI use policy — [Charity name]

1. Principles
   We use AI tools to save time, but a person always checks and approves anything
   AI produces. We are honest about our use of AI and we protect people's data.

2. AI may be used for
   [e.g. drafting internal documents, summarising public information, first drafts
   of communications.]

3. AI must not be used for
   - Entering personal or confidential data into public AI tools.
   - Making decisions about individuals.
   - Publishing or sending anything without a human check.

4. Checking
   Whoever uses AI is responsible for checking the output for accuracy and removing
   errors before it is used.

5. Data protection
   No personal or confidential data goes into a public AI tool. If unsure, ask

6. Review
   Trustees adopt this policy and review it at least annually. Adopted: [date].
